An invoice with a line table and a due-date calendar

An invoice is what a shop sends a customer to ask for payment: what it is for, how much, and the date it is due. Shops use it for credit sales, large orders and pre-orders with a deposit. Download the templates below for free, no sign-up.

Invoice, billing note and receipt: the difference

  • Invoice: asks for payment for goods or services, with a due date. It is not proof that the customer paid
  • Billing note: a cover sheet that groups several invoices into one payment round, used with companies that have a billing day
  • Receipt: issued after the money arrives, as proof of payment. See the free receipt template

Once the customer pays the invoice, the shop still issues a receipt. A shop that is not VAT registered must do so for every payment over 100 baht.

Billing note vs invoice: the difference

An invoice asks for payment for one order. A billing note gathers several invoices already sent onto one sheet, so the customer pays them in one round on its billing day. Company customers who buy on credit often ask for a billing note before their payment round.

  • Invoice: one order, with the items, quantities, prices and a due date
  • Billing note: the number, date and amount of each invoice, the total, the payment date, and a line for the receiver to sign
  • The order of documents: deliver with a delivery note, issue the invoice, hand in the billing note on the customer's round, then issue a receipt when the money arrives

Neither a billing note nor an invoice is proof of payment or a tax invoice. A VAT-registered shop may combine an invoice and a tax invoice in one set if every required item is on it. An invoice needs no stamp duty.

What an invoice needs

  • Your shop: name, address, phone, LINE OA or email, and tax ID
  • The document: invoice number, date and due date
  • The customer: name, address, and tax ID if the customer is a company
  • Items: name, quantity, unit, unit price and amount
  • Amounts: subtotal, discount, shipping, VAT if you are registered, total, deposit received and balance due
  • The bank account to pay into, and signatures of who issues and who receives it

For a shop that is not VAT registered the law sets no form for an invoice. Put the VAT rate at 0 and never call it a tax invoice.

How to fill in an invoice, step by step

  1. Add your shop name, address, contact and tax ID; individuals use their 13-digit ID card number
  2. Give each invoice its own number, for example IV-2026-0021, then the date and the due date
  3. Add the customer's name and address, and their tax ID if they are a company
  4. Add one item per line, then any discount and shipping
  5. Set the VAT rate; put 0 if your shop is not VAT registered
  6. If the customer already paid a deposit, put it in the deposit cell and the Excel file works out the balance due
  7. Add the bank account to pay into and sign as the issuer

Example: an invoice for a pre-order with a deposit

This example uses made-up data. A company orders 20 cotton shirts at 350 baht each and 20 logo embroideries at 60 baht each, and has paid a 4,000 baht deposit.

  • Subtotal 8,200 baht, less a 200 baht discount, plus 100 baht shipping: 8,100 baht
  • VAT 7% of 8,100 baht is 567 baht, so the total is 8,667 baht
  • Less the 4,000 baht deposit: balance due 4,667 baht

The shop in this example is VAT registered, so it adds 7% VAT. A shop that is not registered puts 0.

Send the invoice in chat

  • Save it as a PDF and send it in the chat the customer used; say the due date in your message too
  • When the money arrives, check the amount and the slip before you issue the receipt: transfer amount short or over

FAQ

Can an invoice replace a receipt?

No. An invoice asks for payment; it is not proof that the money was received.

Can an individual issue an invoice?

Yes. Use your 13-digit ID card number as the tax ID.

How many days should the customer have to pay?

You decide. Write the due date clearly on the invoice and in the chat.

Is a billing note the same as a statement of account?

Close. A billing note (ใบวางบิล) is a Thai business document that lists the invoices to pay in one round; the nearest Western document is a statement of account.

Can I use, edit or add my logo to this template?

Yes. Use, edit and print it for free in your own shop.
